My mother had always known where everything was, and then she didn't. The session was done in one afternoon. The sheet that came out of it was so plain and clear that my siblings in Johor and Penang could both read it and understand it without me having to explain anything. I had expected the process to be more complicated than it turned out to be.

My father had a considerable collection of pieces — Tamil silver, some older instruments, and a few things we could not identify without help. The catalogue gave us an honest description of each item and noted exactly what my father said about where each one came from. There was no attempt to assess what anything was worth, which was exactly what we needed at that stage. It took three sessions to complete and the result is something the whole family can use.

We enrolled in the Family Archive Programme after our grandmother's health began to change. The oral history recording was something we hadn't planned for but turned out to be the most valuable part of the whole engagement — she talked for nearly two hours. The handover brief was also well thought out; it describes where everything is without assuming the reader already knows the family or the collection.

I want to be honest that the process took longer than I initially expected for the cataloguing work — we had more pieces than any of us had realised. That said, the practitioner was straightforward about scope at the start and the final catalogue was worth waiting for. It's properly indexed, which matters when you're trying to find something quickly.

What I valued most was that there was no attempt to go beyond the scope of the work. When we raised questions about what we should do with certain documents, we were referred to a solicitor rather than given advice that wasn't appropriate to give. Three families, three situations

Case Study 01

Documents scattered, siblings dispersed

The situation

A household in Melaka Tengah with four adult children living in three different states. The oldest parent had been the one who knew where everything was kept, and that parent's health had changed suddenly.

What was done

A Where Things Are Sheet engagement. One afternoon session, conducted with two family members present. The sheet listed fourteen categories of documents and the enquiry channel for each issuing body.

The result

Four copies printed — one for each sibling. Within a week, two documents that had been searched for unsuccessfully for months were found using the sheet. The family reported that the process of making the sheet had itself surfaced things they had not known they held.

Case Study 02

A collector's estate, no written record

The situation

An older household in Bukit Baru with an extensive collection of pewterware, batik, and antique maps accumulated over forty years. The collector knew the provenance of each piece; no one else did.

What was done

A Heirloom and Object Cataloguing engagement. Sixty-three items photographed, measured, and described. Each entry includes the collector's own account of how the piece was acquired, as told during the session.

The result

A searchable printed catalogue and an encrypted digital copy. The family subsequently used the catalogue as a reference document when consulting a valuer — the valuer noted it was the clearest object record she had seen from a private household.

Case Study 03

A family wanting to build the record while they could

The situation

A large Hakka family in Kota Melaka, with households in Malaysia, Singapore, and Australia. An elder great-aunt, well into her eighties, held most of the family's memory. She was still sharp but the family had begun to think about what would not be recordable in a few years' time.

What was done

A Family Archive and Handover Programme over twelve months. Full document and object inventory, preservation of several fragile papers, oral history recording (conducted in Hakka at the family's request), and encrypted digital collections for each of the three household branches.

The result

A printed finding aid, a handover brief, and a two-hour oral history recording. The family in Australia requested a second copy of the oral history. The great-aunt said afterwards that she was glad someone had finally written things down while she could still say them correctly.

Duration: twelve months — completed June 2025
